Quotation and quoting software for B2B traders and distributors
Uny5 handles a quote from the first draft to the order. A quote goes through an approval, is sent by email or a link, is followed up on dates you set, and can be accepted by the customer without a login, which turns it into an order. Every revision is kept, and quotes that go quiet show up in a follow-up list.

Book a demoThe quote board
Quotes sit on a board with one lane per stage: Draft, Pending Authorisation, Authorised, Sent, Under Review, Negotiation, Won, Lost and Expired. Moving a quote between stages is checked by the system: only the allowed moves work, and each move needs the matching permission. A junior rep can draft and send, while declaring a quote Won or Lost needs the follow-up permission. Marking a quote Won or Lost asks for a reason, and a quote whose validity date passes while still live is closed as Expired by a scheduled job.
Approval and versions
- Internal approval comes first: a draft is submitted, and someone with the authorise permission approves it or sends it back to draft.
- Each revision of a quote is saved as a numbered version with the reason for the change, so you can see what the quote said when you sent it.
- Quote numbers carry a prefix and restart each financial year, with their own sequence for each document type.
- A quote can carry a validity period, delivery time, payment terms, freight, packing and forwarding, insurance and a “kind attention” line.
Follow-ups that do not get lost
Log a dated follow-up on a quote, with a note and who you spoke to. The quote list can be filtered to quotes whose follow-up is due or that have gone quiet, and shows how many there are. You set how many days count as quiet.
Sending a quote and getting it accepted
- Send the quote by email as a PDF, or share a link to it. The link is valid for 90 days.
- You can share the link on WhatsApp. Uny5 opens WhatsApp with the message ready and you tap Send yourself; it does not send through the WhatsApp Business API.
- The customer opens the link without logging in and can accept the quote with their name and an optional note, or ask for changes with a note.
- When the customer accepts, Uny5 records who accepted and when, and creates the order from the quote. Asking for changes records the note and leaves the quote open for you to revise.
From quote to order to invoice
An accepted quote becomes an order acknowledgement. From there Uny5 carries on to delivery challans, sales invoices, credit notes and receipts, so the quote does not have to be typed in again. See order management for distributors and payment reminders.
- Quote lines can carry a costing: the source of the item and the margin on the line, so you see what a quote earns before it goes out.
- GST is worked out on every quote and invoice as CGST, SGST or IGST.
- Pricing rules can set discounts or margins by item, customer, customer group or category, with a priority and a validity period.
Several firms, one login
If you run more than one firm, each keeps its own documents and stock. For each master (customers, vendors, items, employees, taxes, banks) you choose whether firms share it, and you can give one firm read-only access to another’s records. A firm that is given access can see those records but cannot change them.
Tally and GST files
- Tally: Uny5 exports sales, receipt, purchase and payment vouchers as an XML file that TallyPrime can import, and can import customer, vendor and item masters from a Tally export. You can link Tally voucher numbers to Uny5 documents. Uny5 does not connect to Tally live and never changes Tally’s data.
- GST: Uny5 produces the e-invoice and e-way bill JSON for you to upload to the government portals yourself, and the GSTR-1 data as JSON or CSV for your accountant. It does not file returns or call the GST portals.

Frequently asked questions
What is quotation management software?
Software that tracks each quote from draft to approval to sending, follow-up and outcome, and keeps every version. In Uny5 an accepted quote also becomes the order, so it is not typed in again.
Can my customer accept a quote online?
Yes. You send a link, and the customer can accept the quote or ask for changes without logging in. An acceptance records the customer’s name and time and creates the order.
Does Uny5 keep old versions of a quote?
Yes. Each revision is saved as a numbered version with the reason for the change.
Can I send a quote on WhatsApp?
Yes, as a message with the quote link that you send yourself. Uny5 opens WhatsApp with the text ready. It does not send messages through the WhatsApp Business API.
Does Uny5 work with Tally?
Uny5 exports vouchers in a format TallyPrime imports, imports masters from a Tally export and lets you match Tally voucher numbers to Uny5 documents. It has no live connection to Tally.
Does Uny5 handle GST e-invoicing?
It produces the e-invoice and e-way bill files for you to upload to the government portals, and GSTR-1 data for your accountant. It does not upload or file anything itself.
