Order management software for distributors and traders: from order to cash

Uny5 follows an order from the first quote to the money in your account: quote, order, dispatch, delivery challan, invoice, receipt, credit note and payment follow-up, in one system. Stock is kept by location, prices can follow rules by customer, and your accountant can take the data into Tally.

The flow from quote to cash

  1. Quote: approved internally, sent, followed up and accepted. See quotation management.
  2. Order acknowledgement: created from the accepted quote, approved, then moved to In Dispatch and Dispatched.
  3. Delivery challan: the goods-movement document for what leaves the godown. A challan is a document only; stock is reduced by the invoice, so goods are not counted twice.
  4. Sales invoice: with GST as CGST, SGST or IGST. A challan can be linked to an invoice, and several challans can be linked to one invoice.
  5. Receipt and credit note: record payments by cash, cheque, NEFT, RTGS, UPI or IMPS, and credit notes for returns or adjustments.
  6. Follow-up: see who owes what, by age, and remind them. See payment reminders.

Each step starts from the one before, so a quote does not have to be typed in again as an order, or an order as an invoice. Orders and quotes go through an approval before they move on, and the permission needed for each step is set per user.

Prices that follow the customer

Customers can be grouped and categorised. A pricing rule gives a discount or a margin and can apply to everything, an item, a customer, a customer group or a category, with a priority and an optional start and end date. A rule set on a single customer overrides the group’s, and the group’s overrides the category’s.

Stock by location, and buying against orders

  • Stock is kept per location, with a reorder level and a maximum level for each item at each location.
  • Move stock between locations with a distribution, and correct counts with a stock adjustment.
  • Raise purchase orders to vendors, with a link back to the customer order that triggered them, and allocate purchased quantities to customers.
  • Receive against a purchase order, record vendor invoices and pay vendors, with several invoices settled in one payment.

Several firms, and your accountant

  • Run more than one firm under one login. Each master (customers, vendors, items, employees, taxes, banks) can be shared across firms or kept separate, and a firm can be given read-only access to another’s records.
  • Export sales, receipt, purchase and payment vouchers for TallyPrime to import, import masters from a Tally export, and match Tally voucher numbers to Uny5 documents. There is no live link to Tally.
  • Produce e-invoice and e-way bill files to upload to the government portals yourself, and GSTR-1 data for your accountant. Nothing is filed from Uny5.

Who it fits, and what it is not

Uny5 suits a trading or distribution business that sells to other businesses on quotes and orders, from one or more locations, and wants quotes, orders, stock and collections in one place.

Frequently asked questions

What is order-to-cash?

The whole path an order takes from the customer’s first request to the money received: quote, order, dispatch, invoice, payment and follow-up. Software for it keeps those steps linked so nothing is typed twice.

Does a delivery challan reduce stock in Uny5?

No. A challan is a document that records goods leaving. The sales invoice reduces stock, so the same goods are not counted twice.

Can I set different prices for different customers?

Yes. Pricing rules can apply to a customer, a customer group, a category or an item, with a priority and dates, and a rule on a single customer overrides the group’s.

Can my customers reorder online?

They can submit a reorder from a link you give them, without a login. It arrives as a pending order that you confirm.

Can I manage stock in more than one location?

Yes. Stock is kept per location, and you can move it between locations.

Does Uny5 work with Tally and GST?

It exports Tally vouchers, imports Tally masters, and produces e-invoice, e-way bill and GSTR-1 files for you to upload or hand to your accountant. It does not connect to Tally or the GST portals live.

Who we are

This website, uny5.com, is run by Uny5 (Product of Imagine Works). This policy covers this website only: what we collect when you visit it or send us an enquiry. Data that you or your organisation enter inside Uny5 itself is covered by the terms and data terms of the product, not by this page.

What we collect and why

  • If you send the enquiry form we collect your name, email address, phone number, company, role, industry, team size and message, and your tick in the box agreeing to be contacted. We use it only to reply to you and to arrange a demo or answer your question.
  • When you send the form, the email we receive also shows your IP address, your country, your browser’s user-agent text and the time you sent it.
  • The website loads Cloudflare Turnstile as soon as you open it, to tell people from bots. Your browser exchanges a challenge with Cloudflare, and when you send the form we send Cloudflare the result together with your IP address to check it.
  • We use Cloudflare Web Analytics to count visits and measure how fast pages load. It runs from Cloudflare’s servers and does not set cookies in your browser.
  • The website loads its fonts from Google Fonts, so your browser contacts Google, and Google sees your IP address, when you open the website.
  • We use Google Analytics (property G-J6RNV36LDP) to see how the site is used. It sets cookies in your browser, normally named _ga and _ga_ followed by the property ID, and receives details such as the pages you view, your browser and device, and an approximate location.

Who receives your information

  • We receive your enquiry as an email at uny5@imagine-works.com. The form does not save your message in a database on the website.
  • Brevo sends that email for us, so Brevo handles the message in transit.
  • Cloudflare hosts the website, runs the bot check and provides Cloudflare Web Analytics.
  • Google receives the analytics data described above and, because the website loads its fonts from Google Fonts, your IP address when you open the website.
  • These providers may process data on servers outside India.

How long we keep it

We keep your enquiry for 24 months after our last contact with you, and then delete it. We keep it longer only if you become a customer, and then it is covered by the customer terms. Google Analytics keeps its data for the period set in our Google Analytics account.

Your choices and rights

  • You can ask to see the information we hold about you, to correct it, or to have it deleted, by writing to the grievance contact below.
  • You can stop Google Analytics collecting data about your visits by installing Google’s opt-out browser add-on, or by blocking cookies in your browser settings.
  • You can withdraw your agreement to be contacted at any time by replying to a message from us or writing to the contact below.
