Payment reminder software for B2B traders: WhatsApp and email reminders

Uny5 lists every customer who owes you money, sorted by how overdue it is. For each one you can send a ready-written WhatsApp message with a tap, or switch on automatic email reminders that go out daily. Every reminder is logged against the invoice.

One list of who owes what

The collections list shows each customer with an outstanding balance: the total owed, the amount in each age band (0–30, 31–60, 61–90 and over 90 days), the age of the oldest overdue invoice, and when you last reminded them. It is sorted so the oldest and largest debts come first.

It also shows credit you have raised for the customer and not yet applied against an invoice, so you do not chase someone you owe a credit note to.

WhatsApp: a ready message you send

Tap the WhatsApp button and Uny5 opens WhatsApp with the customer’s number and a message already written from your template: the customer’s name, the amount outstanding and the invoices. You read it and tap Send. Uny5 then logs the reminder against those invoices.

Automatic email reminders

  • Switched on per company in Settings; they are off until you turn them on.
  • A job runs every day. It finds invoices with a balance that are due a reminder: at least as old as the number of days you set (the default is 7), counted from the invoice date, and either never reminded or last reminded more than your repeat interval ago (the default is 7 days).
  • One email goes to each customer listing their due invoices, not one email per invoice.
  • The subject and body come from templates you can edit, with the customer, company, amount outstanding, invoice list and date filled in.
  • A customer with no email address is skipped.
  • Each reminder is logged against the invoice, so running the job twice in a day does not send twice.

Recording payments and sharing statements

  • Receipts can be recorded by cash, cheque, NEFT, RTGS, UPI or IMPS, with cheque number, date and status for cheques.
  • A customer link shows the customer’s statement and ageing, and lets them place a reorder request that you confirm.
  • If you connect your own Razorpay account, an invoice can carry a payment link. When Razorpay reports it paid, Uny5 records the receipt once. The money goes straight to your Razorpay account; Uny5 does not hold it.

If you keep your accounts in Tally, Uny5 exports receipt vouchers that TallyPrime can import. See quotation management for what Uny5 does with Tally.

What it does not do

Frequently asked questions

What is payment reminder software?

Software that shows which customers owe you money and how late they are, and helps you remind them. In Uny5 that means an ageing list, a one-tap WhatsApp message and optional automatic email reminders.

Does Uny5 send WhatsApp reminders automatically?

No. The WhatsApp option opens WhatsApp with the message ready and you tap Send. The automatic reminders are emails.

How often do automatic reminders go out?

A job runs daily. By default an invoice is reminded once it is 7 days old, counted from the invoice date, and again every 7 days after that. You can change both numbers.

Can I change the reminder wording?

Yes. The email subject and body are templates you edit, and the WhatsApp message also comes from a template.

Can customers pay from the reminder?

Not from the reminder message itself. If you connect your own Razorpay account, an invoice can carry a payment link that you share, and Uny5 records the receipt when it is paid.

Privacy policy

This policy explains what the Uny5 website collects when you visit it or send an enquiry, who receives it, and how to contact us about it.

Who we are

This website, uny5.com, is run by Uny5 (Product of Imagine Works). This policy covers this website only: what we collect when you visit it or send us an enquiry. Data that you or your organisation enter inside Uny5 itself is covered by the terms and data terms of the product, not by this page.

What we collect and why

  • If you send the enquiry form we collect your name, email address, phone number, company, role, industry, team size and message, and your tick in the box agreeing to be contacted. We use it only to reply to you and to arrange a demo or answer your question.
  • When you send the form, the email we receive also shows your IP address, your country, your browser’s user-agent text and the time you sent it.
  • The website loads Cloudflare Turnstile as soon as you open it, to tell people from bots. Your browser exchanges a challenge with Cloudflare, and when you send the form we send Cloudflare the result together with your IP address to check it.
  • We use Cloudflare Web Analytics to count visits and measure how fast pages load. It runs from Cloudflare’s servers and does not set cookies in your browser.
  • The website loads its fonts from Google Fonts, so your browser contacts Google, and Google sees your IP address, when you open the website.
  • We use Google Analytics (property G-J6RNV36LDP) to see how the site is used. It sets cookies in your browser, normally named _ga and _ga_ followed by the property ID, and receives details such as the pages you view, your browser and device, and an approximate location.

Who receives your information

  • We receive your enquiry as an email at uny5@imagine-works.com. The form does not save your message in a database on the website.
  • Brevo sends that email for us, so Brevo handles the message in transit.
  • Cloudflare hosts the website, runs the bot check and provides Cloudflare Web Analytics.
  • Google receives the analytics data described above and, because the website loads its fonts from Google Fonts, your IP address when you open the website.
  • These providers may process data on servers outside India.

How long we keep it

We keep your enquiry for 24 months after our last contact with you, and then delete it. We keep it longer only if you become a customer, and then it is covered by the customer terms. Google Analytics keeps its data for the period set in our Google Analytics account.

Your choices and rights

  • You can ask to see the information we hold about you, to correct it, or to have it deleted, by writing to the grievance contact below.
  • You can stop Google Analytics collecting data about your visits by installing Google’s opt-out browser add-on, or by blocking cookies in your browser settings.
  • You can withdraw your agreement to be contacted at any time by replying to a message from us or writing to the contact below.
